Yes!
Depends, If it's an event taking place within 40min drive (each way) from us, we do not charge travel fees; if over 40 min drive (each way), travel fees will cover driving time, tolls (if applied) mileage and gas for ourselves and any other team member who will be attending the event. If over 3h drive (each way), travel fees would cover: driving time, tolls (if applied) mileage and gas for ourselves and any other team member who will be attending the event, per diem (per team member) and accommodation. If over 5h of drive (each way) or out of state, everything I mentioned before would be covered by the travel fee + flight/train ticket, transportation (either a car rental or uber), travel days fee (2 days), per diem (per team member, per day of traveling to attend the event**). Any other fee applied to me in order to attend event, during the event, or any other fee related to the event, will also be charged to clients, such as but not limited to: Parking fees, last minute changes requested by clients that would require a fee etc
WHAT TRAVEL FEES ARE AND WHY IT IS REQUIRED:
Travel fees covers a variety of fees that we need to pay in order to complete our work/service such as but not limited to: Gas, mileage, time, time away while traveling unable to work (on galleries, admin tasks, meetings etc), per diem per day of work including traveling days, hotel/accommodation, transportation, flight tickets/train tickets etc.. In state events *usually* vary between $100 - $1,100 (might be less or more depending on your case). Out of state events *usually* vary between $2,000 - $6,000 (might be less or more depending on your case).
Factors that can make it more expensive:
- Season/Weather
- Amount of team members included in your package (which their travel fees would have to be covered as well)
- If accommodation, flight/train tickets are booked last minute or only a few months in advance (we usually book it right after you sign the contract and pay the retainer, if applied to you. In this case, your invoice would include the retainer fee + the accommodation and/or flight/train tickets. Any other travel fees would be invoiced with your last payment and within 30 days after, as tolls are usually mailed within a certain timeframe). Any payment related to travel will be discussed with clients prior to purchase/reservation.
- Engagement Session location; If your engagement session is more than 40min drive (each way), if there is a reservation/entrance fee required, if there is a shoot fee to photograph at location, if there isn't any free parking spots, this will be added to your travel fee costs.
While mainly based in San Francisco - Sonoma, we're also have a base in Newport, RI. We're available to travel wherever you'd like to take us to!
Yes! A $1,500 non-refundable retainer fee is required to reserve the date.
